As a committee secretary, you are part of the secretariat and staff department that belongs to the HR, staff, and urban environment division.

We are a support and service function for the core activities of the administration. The department works to provide a quality-assured and efficient work process in the administration by coordinating, planning, and following up on several cross-administrative processes. We are located in offices in the Slakthus area.

You will be part of a team of about 12 people led by a unit manager. The team includes a registrar/archivist, case expedition, data protection officer, environmental and climate coordinator, security coordinator, investigator, and administrative assistants.

Your role

You are an important link between politics and the service organization. Your work involves both administrative and legal tasks, where you ensure that processes are carried out correctly and legally. The work includes secretarial duties in the district committee as well as legal advice on various issues to the administration's managers, employees, and the committee. You write service statements, work strategically with routines and templates, and conduct training as needed.

You are responsible for:

  • ensuring that committee administration and meetings are conducted smoothly, correctly, and legally
  • supporting case handlers and managers in the committee process
  • sending invitations and documents, writing minutes, and dispatching decisions
  • updating the administration's delegation order, legally reviewing contracts, responding to referrals, and participating in investigation assignments
  • following up on the administration's IOP (idea-driven public partnership)

The role includes covering for the registrar as needed. Evening work may occur in connection with committee information and district committee meetings.

Your qualifications and experience

We are looking for you who have:

  • a relevant academic degree, for example in public administration, political science, or law
  • experience working as a committee secretary and/or with legal issues in public administration
  • very good communication skills in both spoken and written Swedish.

It is meritorious if you have:

  • a law degree
  • experience working as a registrar
  • experience working as a data protection officer
  • experience with the document and case management system eDok (Platina).

As a person, you are independent in your work while also having a good ability to collaborate with others as the role involves contacts with various professional competencies within the administration. To succeed in the position, you are stable, meticulous, and structured. You take personal responsibility for ensuring your work is completed on time and have the ability to adjust and prioritize tasks based on new circumstances. Delivering good service and a positive attitude is a given for you.
